PEO Implementation Specialist

Position Overview
The PEO Implementation Specialist is responsible for ensuring new clients experience a smooth, organized, and positive transition into our PEO. This role requires a highly personable, outgoing individual with strong emotional intelligence, someone who can “read the room,” pick up on body language, connect easily with new people, maintain a positive attitude, and present confidently with a smile.
The ideal candidate is detail-oriented, tech-savvy, process-driven, and comfortable leading demonstrations, trainings, and onboarding calls. This person will be instrumental in executing and enhancing our onboarding workflow, supporting system configurations, and delivering first-class client experience.
Key Responsibilities
Client Onboarding & Relationship Management
- Deliver a warm, welcoming, and professional experience during all client interactions.
- Conduct New Client Welcome Calls and Onboarding Calls with clarity, confidence, and positive energy.
- Build rapport quickly with new clients and adapt communication style based on verbal and non-verbal cues.
- Maintain proactive communication to ensure clients feel supported throughout implementation.
Process & Workflow Execution
- Work with the team to execute and enhance the Implementation & Onboarding workflow for new clients, ensuring a consistent client experience.
- Work within established onboarding templates, checklists, and timelines to meet deadlines.
- Collaborate cross-functionally with Sales, Payroll, Benefits, HR, and Compliance teams.
System Demos, Setup & Training
- Review recent HRIS demonstrations and system updates to stay current on features and workflow enhancements.
- Conduct HRIS system demos for prospective clients (“Prospects Demo”).
- Learn and work within the HRIS demo environment for client setup practice and testing.
- Learn PTO policy setup and client-specific configurations within the HRIS platform.
- Assist in the creation of client training materials, including:
- Provide product demos and assist with setup for:
- Research timekeeping platform and determine integration capabilities with HRIS System.
- Recorded video trainings
- Step-by-step documentation with screenshots
Timekeeping & Technology Tools
- Provide product demos and assist with setup for:
- Time & Attendance
- Expense Reporting
- Scheduling
Document Management
- Manage client documents within our document portal.
- Upload required client documents and maintain organized, accurate file structures.
- Support custom Electronic Onboarding (EOB) setups incorporating client-specific documentation.
- Properly save and organize files within the shared drive.
Quality Assurance & Continuous Learning
- Maintain thorough, accurate documentation of all onboarding activities.
- Stay informed on new technologies and system enhancements.
- Assist in refining onboarding processes to enhance efficiency and client experience.
- Demonstrate willingness to learn new tools, platforms, and workflows.
Required Qualifications
- 2+ years of experience in a PEO, HRIS, payroll onboarding, or a related client-facing technical role.
- Strong emotional intelligence with the ability to “read the room” and adjust communication accordingly.
- Positive, outgoing personality with a professional demeanor and strong customer service presence.
- Excellent communication skills; verbal, written, and presentation based.
- Highly detail-oriented and capable of managing multiple onboarding projects simultaneously.
- Proficient with HRIS and payroll systems; experience with PrismHR is a plus.
- Comfortable leading demonstrations and client training sessions.
- Tech-savvy with the ability to learn new platforms quickly.
Preferred Qualifications
- Experience with PrismHR, Timeco, or other HR/Payroll systems.
- Knowledge of timekeeping platforms and system integrations.
- Experience creating training documentation and video walkthroughs.
- Understanding of PEO operations, benefits administration, and tax/workers’ comp setup.
