Position Overview
The PEO Payroll Specialist is responsible for processing accurate and timely payrolls for multiple clients while delivering exceptional customer service and payroll support. This position serves as a trusted resource for clients, assisting with payroll processing, payroll tax questions, system navigation, employee maintenance, timekeeping, and payroll compliance.
The ideal candidate is detail-oriented, organized, and thrives in a fast-paced environment where priorities shift and deadlines are critical. Success in this role requires strong analytical skills, excellent communication, and the ability to build positive relationships with clients while ensuring payroll accuracy and compliance with federal, state, and local regulations.
This position works closely with Payroll, Human Resources, Benefits, Risk Management, Finance, Client Services, and Sales to provide a seamless client experience.
Key Responsibilities
Process accurate and timely payrolls for multiple PEO clients while supporting the day-to-day operations of the Payroll Department.
- Maintain accurate payroll records, including wage garnishments, child support orders, tax levies, and other required payroll deductions.
- Resolve payroll discrepancies by collecting and analyzing information.
- Serve as a primary point of contact for client payroll inquiries by researching and resolving payroll-related questions in a timely manner.
- Perform wage verifications when needed.
- Develop expertise in the company's payroll and HRIS platforms, including payroll, timekeeping, benefits administration, applicant tracking, and reporting.
- Assist with internal and external audits.
- Develop financial and operational reports when requested by compiling summary data of earnings, state and federal taxes, deductions, PTO, disability, etc.
- Communicate payroll issues, concerns, and process improvements to the Payroll Supervisor.
- Maintain and safeguard employee records, process new hire documentation, and complete Form I-9 employment eligibility verification.
- Contribute to team effort by accomplishing related results and other duties as needed.
Required Qualifications
- Minimum of two (2) years of payroll processing experience.
- Multi-state payroll experience preferred.
- Minimum of two (2) years of customer service experience.
- Positive and proactive customer service mindset required.
- Excellent communication skills, written and verbal.
- Commitment to payroll best practices and regulations.
- PEO experience a plus.
- Familiarity with HRIS (human resource information system).
- Strong attention to detail required.
- Ability to organize, prioritize, and manage multiple deadlines in a fast-paced environment.
- Ability to work effectively in a collaborative team environment.
- Demonstrated ability to maintain confidentiality and handle sensitive information.
- MS Office experience/skills, including Excel and Word.
- Physically able to work seated in front of a computer for long hours at a time.
Preferred Qualifications
- Previous Professional Employer Organization (PEO) experience.
- Experience with ProSoftware, PrismHR, UKG, ADP, Paylocity, Paychex, or similar payroll/HRIS platforms.
- Experience with TimeCo Time & Attendance or other workforce management systems.
- Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) designation is a plus
